Accounting Tip: Accessing the Edits and Corrections Password in Your DMS

Did you know as of the 7.5.5 DMS release you no longer need to call the Autosoft Customer Success Center to get the daily Edits and Corrections Password? Autosoft has added access to the password in the Miscellaneous Passwords screen. To access this daily Edits & Corrections password, follow these steps:

Important: Only users with access to your dealership's master password can access this feature. Autosoft recommends that you use this password and make any edits and corrections with caution.

Step 1. From the Dealership Accounting menu, select Utilities.

Step 2. The Utilities menu opens. Click Passwords. This opens the Passwords menu.

Step 3. Select Miscellaneous Passwords.

Step 4. The system will prompt you to enter your dealership's Master Password. Type the password and press ENTER.

Note:  If your dealership doesn't use a master password, Autosoft recommends implementing one for additional security. You can also use the Accounting expanded passwords to completely block screens to which you don't want particular users to have access. To learn more about setting a Master Password or setting up expanded passwords, see the Bonus Tips at the bottom of the page.

Step 5. At the bottom of the Miscellaneous Passwords screen, the daily Edits & Corrections password is listed as Today's Password.

Fixed Ops Tip: Understanding the Parts Queries Screen

The Parts Queries screen provides quick access to parts pricing and stocking information from inventory and the master price tape.  You can create nine temporary lists.  The parts numbers entered on these lists will be saved for this client station until cleared.  You can also save the lists to create pre-built lists that can be recalled as needed on this screen.  In addition, you can create customer quotes and view the order que.  You can also dump a parts list to a counter slip, repair order, or order que.

You can pull the parts kits on the Parts Queries screen to view parts pricing and stocking information for all of the parts on the list.  Although you can create and save lists on the Parts Queries screen, adding the parts kits to the Special Inventories allows you to enter your lists into the system before you use the Parts Queries.  Taking the time to create parts lists saves you time when you are working on the Parts Queries screen.


Tip: Press the F1 key on your keyboard while on the Parts Queries screen to view documentation and links to other resources to assist you as you work on the screen.

Sales and F&I Tip: Duplicating Deals to Save Time

Autosoft has a major time-saving feature in Sales and F&I! It’s the Duplicate Deal function, which allows you to copy an existing deal into a completely new deal with the click of a button. In fact, you can copy a deal into as many as 10 additional deals, which makes this feature perfect for fleet deals.

To access this functionality:

Step 1. Desk a deal, but DO NOT FINISH it. A buyer does not have to be selected prior to duplicating the deal. If you're copying the deal for fleet purposes, be sure to click the Fleet toggle in the left column of the Desking screen to flag the deal as a fleet deal.

Step 2. Click the Duplicate Deal button at the top of the screen.


Step 3. The Duplicate Deal modal will open. Click the blue + button to copy the deal. You can make up to 10 copies.


Step 4. Select the vehicle for each copy using the Vehicle drop-down menu. By default, the source deal's vehicle will be selected for each duplicated deal. Using the same vehicle for every duplicated deal is permissible. You can also select a different vehicle for each duplicated deal or choose to clear the field.

Step 5. By default, the Duplicate Buyer toggle will be in the "On" position (signified by a blue background). Clicking the toggle will move it to the "Off" position.

Step 6. By default, the Duplicate Trade toggle will be in the "Off" position (signified by a gray background). Click the toggle to "On" (blue background) if necessary.

Step 7. Continue to add duplicates by repeating steps 3 through 6. When you're done, click Duplicate Deal.

Each duplicated deal will open in a new browser tab for easy access. The duplicated deals will contain identical information from the source deal. Once the deals are duplicated, there is no other tie to the source deal, and all deals can be changed independently. It’s that simple!

The duplicate deal function can also be used to build a deal “template” to support a specific promotion or deal setup that might occur often. To set up a template deal, create a deal with the numbers you’d like to include on every future deal (such as a specific APR that you’re advertising, or rebate incentive). For easy reference later, name the template with a placeholder name in the Buyer field, such as “JANUARY BLOWOUT PROMOTION.” Then, when a customer qualifies for the promotion, you can duplicate it with a few clicks and start customizing the deal from there.
