Accounting Tip: Posting Entries to the Current Month to Affect the Previous Month

Did you know that Autosoft DMS's Dealership Accounting module allows you to create entries for the previous month?

To take advantage of this feature, follow these steps:

Step 1. From the Dealership Accounting main menu, select Journal Entries.

Step 2. Click General - Purchases - Receipts from the Journal Entries menu. 

Step 3. From the Journal Entries menu, select General. The General Journal Entries screen opens. 

Step 4. Enter the Document number and type 09 in the Journal field. The field to the right of the journal number auto-populates with "Prior Month Adj."  

Step 5. Continue to build the general journal entry as you normally would. When the entry is ready, click Post Transaction.

Step 6. If your dealership direct posts, select the current month from the Post To General Ledger pop-up. If you batch post, file the entry for posting later. 

The "09" you entered for the journal number will cause the entry to post to the current month's detail; however, the entry will affect the balance of the prior month. 

Note:  Make sure you recompile your prior month financial statement when posting an entry to affect the prior month.

Fixed Ops Tip: Using the Service Quoting Menu 

The Service Quoting menu allows you to create service quotes. Service quotes allow you to add labor, parts, gas/oil/grease, sublets, and tax so you can give a customer a full quote with a professional presentation, rather than a plain paper estimate. When the customer brings the vehicle in for service, you can then dump the quote to a repair order so you don't have to re-enter the information.

Service Quoting is also integrated with Mitchell Pro Demand. The ProDemand button appears for dealerships with Mitchell1 integration.


Click this button, which will open the Mitchell1 website, where you will log in. The year, make, and model information from the service quote will auto-populate the respective fields on the Mitchell1 site. You can then select operations and transfer them back to the service quote in the Autosoft DMS. The operation will write new lines to the service quote in sequence.

Sales and F&I Tip: Re-ordering Deal Forms 

Did you know that you can easily change the order of your deal forms in Sales and F&I?

If you’d like a certain form to appear higher in your list, you can re-order the list accordingly. To do this, follow these steps:

Step 1. Click the Setup button in the main navigation bar along the left side of the screen.

Step 2. In the Setup application, click the Sales tab and select Forms from the drop-down menu that opens. The Forms setup screen opens. 

Step 3. Use the Select Form Type field to choose Deal Forms or Prospect Forms. The appropriate list of forms populates the screen.


Step 4. You can reorder the forms in one of two ways:

Click and hold the three horizontal bars to the left of the form you want to move. Drag it to the new position you'd like it to hold in the list and release the mouse.


In the form's Order field, type the position in the list to which the form should be moved. For example, if you’d like a form to be at the top of the list, type “1” in the Order field for that form, and the system will move the form to the top of the list.
