Fixed Ops Tip: Archiving Repair Orders for Backup 

The R/O Archives menu is used to archive repair orders. When you archive a repair order, it is turned into a PDF file and stored on the local client drive. 

Several years of records can be maintained on the local drive. This menu provides a method for viewing your archived repair orders and burning them to a CD for backup. Because the system backup does not include making a backup of the local drive, the records may be lost due to hardware failure or other unforeseen accidents. By “burning” the files to a CD, you ensure the records are safely backed up. Several copies should be made so a copy can be stored off-site in a safety deposit box (or other safe location). When you burn month-end files to a CD, you will lose any previously burned files. Only the most recent files are available on the CD; therefore, you may want to use a separate CD for each month.

Sales and F&I Tip: Setting Time-Saving Deal Defaults

Creating quotes as quickly as possible is critical to the success of the sales process. With the ability to create key default criteria, Autosoft's Sales and F&I (SFI) application makes creating quotes faster than ever.

Before a deal quote can be created, Deal Type, Source, Prospect Type, Sales Manager, and Finance Manager must be identified.

However, you can easily set defaults for all of those fields by following these steps:

Step 1. Click on the Setup app button in the main navigation bar. The Setup app will open to the Dealership Information page.

Step 2. Click the Sales button from the horizontal button bar running across the top of the screen. The Sales options drop-down menu will open.

Step 3. Select Deal Defaults from the Sales options menu. The Deal Defaults screen will open. 

Step 4. The General Defaults card allows you to set default information that applies to all deals. Most of this information can be edited on a deal-by-deal basis. To set defaults to allow for the quick starting of quotes, select the defaults you'd like to set for the Default Sales ManagerDefault FinanceManagerDeal TypeTraffic Type (controls Prospect Type field in the New Deal pop-up), and Source fields using the options menu for each field.

Step 5. Click Save. A green "Success" message verifies that the changes have been saved.

With those defaults defined, you can start a quote from the sales screen in two clicks: click the New Deal button, then click Save on the Deal Information pop-up. From there all you need to do is enter the deal information to complete the quote for your customer.
